Why your spreadsheet breaks at deal #25.
Most MCA brokers — including ones funding $5M+ a year — still run their shop in a spreadsheet. There's nothing wrong with starting that way. There's a lot wrong with staying there. Here's the side-by-side, plus the math on what spreadsheets actually cost.
Side-by-side
| What you do | In a spreadsheet | In Vault |
|---|---|---|
| Move a deal between stages | Drag a row, change a status cell, hope nobody else has it open | Drag in kanban; status, owner, and notifications all update at once |
| Collect docs from a merchant | Email, follow up by hand, save attachments locally, rename files | Auto-request via portal, validation runs on upload, OCR extracts fields |
| Submit to multiple funders | Forward email per funder, copy-paste deal facts, track responses in a tab | One click, packaged submission, response status auto-tracked per funder |
| See "where is deal X right now" | Hunt across email, Slack, the spreadsheet, your memory | Open the deal — full timeline + every funder's status on one page |
| Calculate commission split | Manual formula per deal, double-check arithmetic, hope nobody disputes | Auto-calc on funded event, audit trail, immutable receipts |
| Catch a renewal | Manual calendar entry — most brokers miss 30%+ of renewal windows | Pay-down monitoring; renewal candidates surface automatically |
| Onboard a new rep | Share the sheet, hope they don't break a formula or delete a column | Invite, assign role, RBAC limits what they can see/do |
| Find "all deals over $100K with FICO 680+" | Filter, sort, copy to a new tab, lose your place | Saved filter view; exportable to CSV for board reports |
| Sleep at night | "Did I forget to follow up with…" running in the background | The action queue tells you exactly what's waiting |
The math on what spreadsheets actually cost
Here's a back-of-envelope on a one-rep shop running 30 active deals at any time:
- Missed renewals: ~30% of eligible renewals slip past the window. At an average $4,000 commission per renewal, missing 4 of 12 a year = $16,000/yr left on the table.
- Deals stalled by doc collection: Average MCA deal stalls 4–6 days waiting on a missing bank statement. ~15% of those are abandoned. On a $60K average deal at 8% commission, losing 6 deals/yr = $28,800/yr.
- Time spent in admin: The typical solo broker spends 12–15 hours/week on manual pipeline / doc / follow-up work that automation handles. At a $100/hr opportunity cost, $60K+/yr of unrecovered time.
- Funder relationship damage: Funders downrank brokers with sloppy submissions. Hard to quantify, but every shop has stories about losing a primary funder over a back-office mistake.
Pro tier costs $79/mo. Even if Vault only catches a quarter of the above, it pays for itself ~30× over.
"But I like my spreadsheet"
Good — keep one. The Vault dashboard has a Table mode that looks and behaves like a spreadsheet. The difference is the data behind it is also wired into the automations, the funder integrations, the commission calc, and the audit log. You get the spreadsheet view without losing what spreadsheets can't do.
What we're not doing
- Not replacing your accounting system. QuickBooks/Xero stays where it is.
- Not replacing your CRM if you have one you love. We integrate with HubSpot, Salesforce, Pipedrive.
- Not making capital decisions. Funders fund. We just make the path between deal and funder smoother.
- Not selling your data. Ever. Not to ad networks, not to AI training corpora, not to data brokers. See the Privacy Policy.
FAQ
Can I import my existing spreadsheet?
Yes. CSV import is on every plan, with a column-mapping wizard. Pro and Team include white-glove migration where we'll do the import for you.
What if I prefer the spreadsheet view?
The dashboard has a Table mode that behaves like a spreadsheet. The data is also wired into automation behind the scenes — best of both worlds.
Will my reps actually use it?
In most early-access shops, adoption is faster than email. The pipeline shows who owns what without anyone asking. Rep-on-rep accountability tends to go up too.
